Data backup is one of the most important aspects of IT but is often overlooked. By ‘Backing up’ you make a copy of your most important files which can then be used to restore them if the original file is lost, damaged or infected.

What can cause data loss?

There are many causes of data loss. The most common are physical failure of your PC, human error, theft or disasters like floods, fires and dropped coffee mugs! It is also common for data to be saved to just one place, like ‘My Documents’ on your PC’s hard drive. Which means that if this data were to be accidentally changed or deleted it would take considerable time and expense to restore it.

Growing numbers of computer viruses are also a risk to business information, as once they have infected your machine they often delete or corrupt your data. This is another reason why backing up your data is such an important thing to do.

What data should I backup?

Choosing what data to back up is a key start to making sure you have a copy of all your business critical information.

What would you need to continue working if your PC were to be stolen or damaged? Perhaps you’d need your clients’ contact details, email addresses, your financial accounts and important documents.

Consider how long it has taken you to gather all this information. What would you do if you couldn’t access it again? These are things you should bear in mind when thinking about backing up.

How can I backup my data?

There are various types of backup available. The one you choose will generally depend on what you need to backup, time, security and budget.

Memory sticks and portable hard drives can be used for smaller backups. We dont recommend this as they are easy to lose, easy to damage and are unsecured meaning that anybody who gets hold of your lost device has also got hold of all your confidential information.

Tape backup is another option. As long as you have a reasonable tape rotation and store the tapes offsite, it is an easy backup solution. Unfortunately tape backup is a very slow, manual process that is generally considered outdated.
